COH Event Calendar
Planning an event for your department? We ask that you check the event calendar first and place information about your scheduled events here. Note, this is a private calendar for COH staff use only to aid in planning and minimize date conflicts. If you have trouble accessing the calendar, please contact us at coh-marketing@arizona.edu.
Rubel Room Requests
The Dorothy Rubel Room at the Poetry Center is available to departments who have a public event (one that is advertised and promoted through the COH Marketing team) to the community. The room requires COH marketing staffing for any event that takes place, and availability may be limited on this basis (ie. the room may be available on a date when staffing is not available and therefore cannot be booked). General parameters:
- Audience Requirements: 70 - 90 attendees
- Availability: Year-round, based on calendar and staffing availability
- Set-up*: Standard theatre/lecture-style seating included inside the room and breezeway overflow space
- A/V: Various capabilities including video recording available
Note: During the school year, Thursday evenings are typically unavailable (for Poetry Center readings) and daytime hours are booked heavily (for Humanities Seminars classes)
McCauslin-Smith Garden Requests
The McCauslin-Smith Gardens at the Poetry Center are available for events in combination with the Rubel Room or as a stand-alone space. The gardens consist of flexible-use, outdoor platforms and a tiered odeum ideal for receptions, performances and casual gatherings. The space is equipped with a catering prep and storage space for food service. Requires COH marketing staffing for any event that takes place, and availability may be limited on this basis. General parameters:
- Capacity: 50-100 attendees
- Availability: Year-round and weather permitting, based on calendar and staffing availability
- Set-up*: Standard layouts are provided upon event request; rentals may be required
*Custom room set-ups (specifically classroom and seated, reception-style set-ups) either in the Rubel Room or McCauslin-Smith Gardens are available only by special permission from the Dean's Office due to the additional staffing required to move and re-set furniture and coordinate rentals.
Catering Guidelines
The Marketing team can handle catering details on select COH events with Dean’s Office approval. Please refer to these general guidelines for your catering needs:
- Food/Beverage
Catering through Student Union is available for all on-campus events. A minimum of 21 business days are required when booking any event with any food and/or beverage items. Event requests submitted with fewer than 21 business days’ notice are subject to approval. Final guest count is due 10 business days prior to the event date. - Alcohol
Any event with Alcohol needs to have an alcohol waiver submitted at least 30 days prior to the event to allow time for the Dean's signature as well as processing time. - Student Union Room Rental
Room Reservations without a food and beverage component require at least 14 business days’ notice to be booked. To reserve a room within the Student Union Memorial Center, please submit the Room Reservation Request directly to them at: SU-EventPlanning@arizona.edu or use the request form.
